Outlook: Quick Mailbox Cleanup

To quickly clean up your Inbox or Sent Items:  sort your mail by size by right clicking on the “Arranged By” bar and selecting Size.  Make sure “Show in Groups” is also selected.  

 

 

 

Once the mail is sorted, look at any messages in the “Enormous” or “Huge” category, and delete any that you no longer need. To arrange your mail by date again, right click the “Arranged By” bar and select Date (or whatever you need to select to arrange your mail the way you normally view it).

Accessing the FTP Server from Excel or Word

You can open files or save files directly to the FTP server from Word or Excel, eliminating the step of opening the FTP application and ftp’ing the file.  Instructions are here.

 

A Macro to forward and delete Spam

This macro forwards selected messages to the stopspam email account and then deletes the messages from your Inbox.  Instructions are here.

 

Quickly Switching Between  Multiple Signatures

NOTE:  For this to work, Word must be set as your Email editor.

If you send out email under more than one signature, you may find this to be a quick way of switching between them.  First, type your signature information in a blank Word document and apply any hyperlinks, formatting etc. you desire.  Then select all of the signature text and select Tools, Autocorrect Options from the Word menu.  Notice that your selected text displays in the "With" box.  Type a "code" for your signature file in the Replacement box - for example: sgbus for a business signature, or sgpers for a personal signature.  Follow those steps for each signature you use.  (Note:  the "code" you assign your signature files should not be a word that you commonly type.)

Next time you are sending an email, type the autocorrect code that you assigned your signature file, and press Enter.  The signature will display in the email.  If you like this method, disable the Automatic signature feature in Outlook to prevent 2 signatures from displaying in your email.
